Position Overview and Job Responsibilities

The Communications and Program Assistant is a new position with Albany Public Schools Foundation (APSF) and will be responsible for assisting the executive director with community, volunteer, and donor communications.  The Communications and Program Assistant reports to and works closely with the Executive Director and collaborates with staff and volunteers to achieve fundraising goals and implement Foundation programs.

Primary Areas of Responsibility:

 Executive Assistant

  • Provides administrative assistance to the Executive Director. Assists with the Director’s calendar; responsible for confidential and routine correspondence and communications; prioritizes issues for Director’s attention on routine reporting and scheduling. Assists with coordination of external and internal activities, meetings, and event coordination.
  • Oversees the development of Board agenda and Board packet information to ensure the accuracy and completeness of materials presented to the Board. Takes notes in board and committee meetings.
  • Manages the office and interfaces with visitors and vendors.
  • Coordinates with the bookkeeper, Director, and board officers for signing of checks and other documents.


Communications & Program Assistant

  • Oversees and develops a volunteer program. Cultivates and stewards prospective and returning volunteers. Responsible for board and volunteer appreciation. Coordinates volunteer training.
  • Provides administrative support to programs and internal teams.
  • Assists in communications and relationship building with current and potential sponsorship and scholarship donors.
  • Collaborates with the scholarship committee chair and Development Director to coordinate donor meetings and assists with stewardship and cultivation.
  • Develops relationships with local media outlets and stakeholders to promote the Foundation. Drafts copy including press releases and assists with marketing tasks as needed.
  • Represents APSF at various community and school district events which provide the opportunity to network with current and prospective donors.



  • A college degree in communications, marketing, public relations, business, journalism or a related field or equivalent experience.
  • Exemplary communications ability and outgoing, yet poised personality.
  • Superior written, verbal and interpersonal communication skills.
  • Ability to consistently exercise discretion and independent judgment.
  • Team player who excels at working both independently or collaboratively.
  • Working proficiency at an intermediate level in Microsoft Office Suite & Google Workspace.
  • Experience using Constant Contact, Word Press and donor database software a plus.
  • Exhibits a high degree of professionalism, business judgment and problem-solving skills.
  • Pays attention to detail in all aspects of the position including written documents and interpersonal relationships.

Health and Safety

This employee will report to the Albany Public Schools Foundation office, located in Albany, Oregon. The office is on school district property and therefore subject to Oregon Department of Education and Greater Albany Public School District health and safety protocols.  This includes a requirement to provide proof of COVID vaccination.


Must have the ability to sit and work at a computer for extended periods. Maintains professional personal appearance and hygiene appropriate to the position.

Work Hours/Benefits

This position is full-time, hourly, with flexibility needed for special events, meetings or occasional presentations outside of normal work hours.  Some evening and weekend work may be required.  A valid driver’s license is required for use of your own vehicle for occasional errands and travel to meeting sites (if not at the office). Mileage is reimbursed at the state rate.

PTO: The employee will earn 15 days of paid time off plus 11 paid holidays annually.
